General Data Protection Policy June 2018
This policy has become necessary due to changes in UK law and supersedes any previous policy regarding data collection, storage and accessibility.
Collection of data
On application to join this club prospective members will be asked to provide their name, address, email address and dogs name and breed. It will be explained on the application form the reasons for this and that the right to join the club is not dependent on this information being given.
Reasons for requesting this information
This information is requested to help us run the club in the most efficient manner. Email addresses may be required to inform members of late or urgent changes to events or regular sessions, and name and address details may be required for health and safety reasons for instance if someone is taken ill at an organized event.
Storage of data
The information will be stored in a password protected excel file on the membership secretaries home PC and on rare occasions a printed copy may be made.
Disclosure of data
The data will not be disclosed to any third party under any circumstances and will only be available to Membership sec., Secretary, Treasurer, Chairman and Vice Chairman when necessary. Any member may at any time ask to review the data the club holds for them.
Deletion of data
A members details will be immediately deleted on request or if they ask to leave the club.
If a member fails to renew their membership when due, their data will be deleted within three months of the renewal date. After this time a new application for membership will be needed.
Any printed list will be destroyed as soon as the reason for printing has passed.
Details of Junior Members
No details of junior members under 16 will be requested other than their name, dogs name and breed. Any address or email details provided should be those of their parent or guardian.
